Keep the two existing clocks—and the new copy—distinct

The grievance officer must acknowledge receipt within 48 hours and redress the complaint within one month from receipt. These are existing requirements. Amended rule 4(5) retains them and adds a copy of the complaint as recorded by the grievance officer from January 2027. A ticket identifier or generic acknowledgement is not that copy.

For a fictional complaint received at 10:00 IST on 1 February 2027, 48 hours later is 10:00 IST on 3 February. One calendar month from 1 February reaches 1 March, whereas a fixed 30-day duration reaches 3 March. This illustrates why the two are not interchangeable. Configure final cutoff times and month-end handling consistently with the applicable rules; preserve the original receipt time when a ticket changes teams.

Send the complaint you actually recorded

An acknowledgement template might say, “We received your complaint and assigned reference 1042.” The recorded complaint copy should instead reproduce the substantive case entry. For illustration: “Order 4831: consumer reports receiving the wrong size and requests replacement; delivery reported as 1 February.” Use the actual recorded content, not this example or a vague “product issue” category.

A copy may accompany the acknowledgement when ready, but do not confuse that operational choice with a separate statutory copy deadline established here. Preserve corrections and clarifications in the case history. Use a suitable delivery channel and retain evidence of what was sent without including unrelated internal notes or another person’s case data.

Prepare convergence registration as a separate workstream

Rule 4(7) requires every e-commerce entity to become a partner in the National Consumer Helpline convergence process from 1 January 2027. The public programme page still uses voluntary-participation language; that does not override the amendment. Its 30-day response expectations must not replace the statutory one-month redress wording either.

The official registration page lists authorization and undertaking letters. Review those documents and the current registration fields, identify who can authorise the organisation’s application and appoint an operational contact. Registration alone does not ensure that incoming NCH matters reach someone who can investigate and respond.

Operate a controlled handoff before promising automation

The cited public materials do not establish a supported public API route for your implementation. That is not proof that no API exists. Confirm available access and requirements with the official programme before promising automatic submission or status synchronisation.

Until a documented connection is available and validated, maintain a controlled handoff: map internal and NCH references, assign an owner, reconcile updates and track both programme expectations and statutory obligations. Joining convergence does not replace the grievance officer or the merchant’s complaint records. A ticket marked “forwarded to NCH” is not, by itself, evidence that the underlying complaint has been redressed.
